Your details, and how we look after them

Let's Club Together helps members of GAA clubs find a cheaper electricity tariff for their real usage, and to give a small voluntary donation to their own club if they'd like to. This page explains, in plain English, what information we hold about you, why we hold it, and the strong steps we take to keep it private — especially from anyone who might want to use it to sell you something.
Our promise to members. When you send us your bill, the details that identify you — your name as it appears on the bill, your address, your meter number (MPRN) and your phone number — are locked away. Your club's volunteers and committee cannot see them. Not by default, not by browsing, not by asking us. They can only ever see those details if you say yes, over WhatsApp, to a specific person for a specific reason — and that permission runs out on its own after a short time. This is the heart of how we work, and we built the whole platform around it.
Who we are
Let's Club Together is a not-for-profit set up to help Irish GAA clubs raise money. We are the "data controller" for the information described here — meaning we are responsible for looking after it.

What information we hold, and why
If you’re a club member who sent in a bill
When you message us a photo of your electricity bill over WhatsApp, we read it so we can find you a better tariff. From that, we hold:
- The photo of your bill, and the figures read from it — your usage, your current rate and spend.
- Your identity details: the name on the bill, your address, your meter number (MPRN) and your phone number. These are the locked details described in our promise above.
- Your messages with us on WhatsApp, and any donation you choose to make.
- Which club you’ve asked to support.
- Your renewal date — we may need to confirm that you've actually switched, so we can remind you the following year.
We use this only to read your bill, work out a cheaper tariff for your real usage, send you the result, and — if you choose — pass your voluntary donation to your club. We are honest about what we do: we help you find savings; we don't switch supplier for you, and we don't give financial advice. The choice to switch is always yours.
If you’re a club admin, committee member or volunteer
To give you an account on the platform we hold your name, email, phone number, role, and — where a club chooses to record it — Garda vetting status as a best-practice signal. Vetting is not required to use the platform.
The legal basis we rely on
For reading your bill, finding savings and handling a donation, we rely on your consent — you start the whole thing by messaging us, and you can stop at any time. For keeping secure records of who accessed what (our audit trail) and for protecting members against misuse of their details, we rely on our legitimate interest in keeping the platform safe and trustworthy.
The privacy lock — explained simply
This is the part that makes us different, so it's worth spelling out.
The reason your identity details are locked is a real and specific risk: electricity bill-switching companies have an interest in getting members' names, addresses and phone numbers so they can contact them directly to sell to them. Some might even try to do this by getting involved with a club. A GAA volunteer helping you switch does not need your address or meter number to do that — so we don't let them see it.
Here is exactly how access works:
- By default, nobody at your club can see your identity details. They are stored in a locked, encrypted form. Even a club admin sees only a placeholder.
- You are the only one who can unlock them. If a volunteer genuinely needs a detail to help you, the platform sends you a WhatsApp message naming who is asking, what they want to see, and for how long. Nothing unlocks unless you reply YES.
- Permission is narrow and temporary. When you say yes, only that one named person can see only the details you agreed to, and only for a short window (14 days by default). After that it locks itself again automatically.
- You can withdraw at any time. Reply STOP on WhatsApp and the access ends immediately.
- Every single look is recorded. Every time anyone views an unlocked detail, we log who, what and when. We also watch for anyone trying to request access to lots of members at once, and we're alerted if that happens.
A small number of Let's Club Together support staff can see identity details when needed to support you or fix a problem. Every one of those views is recorded in the same way, and is clearly marked in our system as support access. We hold ourselves to the same audit trail as everyone else.
Who we share information with
We never touch your donation money. When you donate, the payment goes through Stripe directly into your own club's account. The money does not pass through Let's Club Together at any point, and we never see your card details.
To run the service we use a small number of trusted suppliers ("processors"), each under a written data-protection agreement:
- TailorTalk — runs the WhatsApp conversation and reads your bill photo.
- Stripe — handles donations securely and pays them to your club.
- Supabase — stores the platform’s data securely within the EU.
- Vercel — runs the platform itself.
- privateemail.com — sends the service emails (such as confirmations and notices).
We do not give your details to other clubs.
Where your data is kept
Your personal information is stored within the European Union, in Ireland where available. Identity details are encrypted, and the photo of your bill is held in secure storage with download links that expire within seconds.
How long we keep it
We keep your information only for as long as we need it to provide the service and meet our legal obligations, and then we delete or anonymise it.
Your rights
Under data protection law you have the right to:
- See what information we hold about you.
- Correct anything that’s wrong.
- Have it deleted, where there’s no reason for us to keep it.
- Withdraw your consent at any time — for members, simply reply STOP on WhatsApp.
- Object to or restrict how we use it, and to ask for a copy of it.
